This notice describes the Minder application at minder-alpha-01.vercel.app.
Who we are
MINDER UK HQ LTD operates Minder. The company number is 17547821. The company is registered in England and Wales. The registered office is 71–75 Shelton Street, Covent Garden, London, WC2H 9JQ.
For customer support, privacy and data protection enquiries, and personal data deletion requests, email minderhq@gmail.com.
Who this covers
The application processes information about two groups of people:
- People with a Minder business account, who sign in with an email address and password.
- People who contact that business, including customers the business adds and people who message a connected Gmail account, Facebook Page or Instagram account.
Information the application processes
Depending on what a business uses, Minder can store:
- The business user's sign-in email and authentication session.
- Customer names, email addresses, phone numbers and address fields the business enters.
- Messages shown in the inbox, including subject, body, channel, direction and time. Channels in the product include email, Facebook Messenger, Instagram and, where a number is connected, WhatsApp.
- Names, channel identifiers and profile photographs retrieved for a connected Facebook or Instagram conversation.
- Follow-up tasks, notes of what needs doing, and saved reply wording.
- Business information the account holder saves for drafts, such as location, hours, prices, policies and uploaded price-list files.
- Files the business uploads onto a customer record, and customer photographs stored for the inbox.
- A Google connection for Gmail, including the tokens Minder uses to keep that connection working.
- A record of a connected Facebook Page, Instagram account or WhatsApp Business number where one is configured.
- Daily briefing text and message classifications produced for the signed-in business.
How that information is used
- To sign the business in and show its own records.
- To show customer conversations in one inbox.
- To let the business send a reply it has chosen.
- To list follow-ups and suggest whether one still needs attention.
- To prepare a private daily briefing on the Today page.
- To draft a reply the business can edit before sending.
- To keep the connected accounts working.
The application has no feature that sells personal information or that passes it to advertisers.
Gmail
A business can connect its own Gmail account. With the permissions Minder asks Google for, the connection can read mail, send mail, and change mail in Gmail, including marking, archiving or deleting it there. Copies of messages used in Minder are stored for that business. Mail also remains with Google under Google's own service.
Facebook Messenger and Instagram
Where a Facebook Page or Instagram account is connected, Minder can receive messages through Meta's platform, store them for that business, and send a reply a person chooses. Minder may also store a display name, a Meta identifier for the conversation, and a profile photograph when one is retrieved.
Those connections depend on Meta's permissions. This notice does not say Meta has approved Minder, and it does not say every business can connect Messenger or Instagram.
Where a WhatsApp Business number is connected, Minder can receive WhatsApp messages, store them for that business, and send a reply a person chooses. Minder can store the message text, the time, a WhatsApp identifier for the sender, and a display name when WhatsApp provides one.
That connection depends on Meta's permissions. This notice does not say Meta has approved Minder, and it does not say every business can connect WhatsApp.
Artificial intelligence
Some routine email is sorted with rules in the application and is not sent to a model. Other inbound messages can be sent to OpenAI so Minder can judge whether they need a reply. A reply draft can include the conversation and the business details needed to write it, such as saved prices. Follow-up suggestions can also be prepared with OpenAI. You send any reply yourself.
The daily briefing is prepared from a short set of facts, such as counts, customer names and follow-up titles, rather than from the full text of every message. Briefing text is stored for the signed-in business.
Drafts and summaries can be wrong. They are there to be read before anyone relies on them.
Where information is kept
The application is hosted on Vercel. Accounts, database records and uploaded files are kept with Supabase. Gmail is processed with Google. Messenger and Instagram are processed with Meta where those connections are in use. AI features call OpenAI. Each of those providers handles the information needed for that part of the service.
Cookies and this browser
Signing in uses cookies so the session can continue. If Remember me is ticked on the sign-in page, the email address is saved in this browser. The password is not. This browser can also store a light or dark appearance preference.
How long information stays
Minder does not automatically delete messages, files, photographs or account information after a fixed time. Archiving a customer hides that customer from the active list. It does not delete their messages, files or photographs.
Asking for access or deletion
You can ask for a copy of the personal information Minder holds about you, or ask for that information to be deleted. Minder does not delete this information automatically, and this website has no button that deletes it for you.
- Email minderhq@gmail.com and ask for a copy of your personal information, or for it to be deleted. Say which business you contacted, and whether that was by email, Facebook Messenger, Instagram or WhatsApp. Sending the email does not delete the information automatically.
- Read the user data deletion instructions for the same email request, including information received from Facebook Messenger or Instagram.
Signing in and archiving a customer hides that customer from the active list. It is not a deletion of their messages, files or photographs, and it does not close the account.
Your rights
People in the UK may have rights to access, correct, restrict or delete personal information, and to object to some uses of it. Use the steps above to make that request. Minder will not treat an archive as a completed deletion.
